About the Role
As the Office Manager, you will play a pivotal role in ensuring the smooth and efficient operation of SUBCO. You will oversee our Brisbane, Melbourne and London locations – planning all SUBCO events, provide dedicated support to the People and Culture team and at peak times provide administrative support across various teams. Being in this role will give you such great visibility across multiple functions in SUBCO and the opportunity to build lasting relationships with our teams in Brisbane, Melbourne and London.
Key Responsibilities
Office Management
- Oversee the smooth day-to-day operations of multiple office locations and own the front of house experience in the Brisbane HQ for all visitors.
- Serve as the primary point of contact for building management, service providers, and office vendors (e.g. cleaners, IT support, office supplies).
- Monitor and manage office inventory, ordering supplies as needed.
- Source, vet, and negotiate contracts with external contractors and service providers
- Oversee contractor performance through regular quality checks and reviews
- Develop and maintain a building maintenance schedule and ensure regular inspections, servicing, and safety checks are performed.
- Oversee the office’s physical assets, including office furniture, fixtures, equipment, and facilities supplies; manage repairs, replacements, and upgrades as needed.
- Maintain accurate records of service agreements, maintenance logs, building access cards, keys, and office security protocols.
- Monitor office-related expenses, process invoices, and work within approved budgets for facilities and maintenance.
- Liaise with Executives and team members on all interstate and international travel
HR Administration
- Draft and issue of employment contracts, variation letters, and general HR Documentation.
- Administer monthly eNPS surveys, collate feedback, and support follow-up actions.
- Maintain and update P&C information across our HRIS (IntelliHR), SharePoint and knowledge areas
Event Planning & Execution
- Plan, coordinate, and execute internal and external events including staff meetings, team-building activities, client events, and company celebrations.
- Manage event logistics such as venue selection, catering, transportation, accommodations, guest lists, invitations, and event setup/pack-down.
- Develop and manage event budgets, ensuring cost-effectiveness while maintaining quality.
Business & Team Support
- Provide day-to-day administrative support across all functions, helping teams manage workload during peak periods.
- Assist with basic finance and commercial administration (e.g. purchase orders, invoices, expense tracking, data checks).
- Support Sales and Marketing activities, including coordinating events, managing logistics, and assisting with materials and follow-ups.
About You
- Bring proven experience running complex, multi-site office environments
- Proven experience delivering value through effective contractor and supplier management
- Proven experience in office and event management, within a fast-paced working environment
- Strong communication, interpersonal skills and stakeholder management
- Able to maintain a high level of discretion and confidentiality
- Flexible, adaptable and detail-orientated with an innate ability to make quick decisions and seamlessly manage multiple priorities and deliverables
- Excellent organisational and time management skills
- High attention to detail, with a solid span of knowledge gained from supporting diverse corporate functions in an administrative capacity (experience supporting a People Team would be favourable).
- Ability to work independently with autonomy and as part of a collaborative, close knit team
- A creative, self-starter with an ability to think outside of the box when it comes to team events and celebrations
